Collecting and processing personal data

These policies deal with the three principal situations in which ASC collects and processes personal data:

  1. Attendees registered to attend an event such as a conference or in-person meeting
  2. Subscribers to our general mailing list
  3. Membership of the association.

Registration to attend an event

We will collect personal data each time you register to attend one of our events.

Your ticket name (first name, last name and organisation) will be used to create your name badge and will appear on the delegate list for this event which will be shared with other attendees including our sponsors. You have the option to edit the name that will appear on your badge, or use only a part of your name.

The distribution of recordings from this event, including transmission via our YouTube channel, which may include your image and/or spoken comments made by you during the discussion sessions that will form a part of this event.

Our processing of your personal data is for these defined purposes: (1) such as is necessary in the administration of this event and (2) for us to meet all security and health and safety requirements of the event venue and (3) for us to seek to fulfil any dietary requirements or other accommodations you indicated to us at the time of booking.

Occasional contact from us by email to make you aware of future ASC activities and events. If you wish not to be contacted, email administrator@asc.org.uk and ask to be removed from our mailing list, or simply reply “unsubscribe” to any email received.

General mailing list

You may opt in to receive communications by email from the association by notifying the administrator or completing a subscription request form on our website. In this case, the personal data we collect is limited to your name, email address and professional affiliation (organisation), such as you choose to provide.

Our processing of your personal data will be limited to such that is necessary for us to send you information and communications about ASC activities and forthcoming events on an occasional basis. These may include advertising content as a part of our communication to you but your information will not be disclosed to any advertiser.

You may opt out of this list at any time by informing the ASC administrator or by clicking the unsubscribe link provided in any general mailing communication you receive.

Membership administration

  • Please note that you do not need to be a member of the association to attend any of our conferences or the majority of our other events. Membership of the association is voluntary and is open to everyone over the age of 18 years. See the membership page for more information.

In order to administer the membership of the association, we need to collect personal data from you in the form of your name, address, email address, telephone number and the name of the company you work for or are affiliated with (“member information”), and occasionally other personal information.

Our processing of your personal data is for these defined purposes: (1) such as is necessary in the administration of the membership of the association; (2) to meet the requirements of the Community Interest Company Regulator that we maintain at all times an up-to-date list of members of the association and (3) to inform you of all Annual General Meetings or Extraordinary General Meetings called for members

We will also use your contact details to make you aware of ASC activities and future events unless you ask us not to.

If you wish not to be contacted about future activities and events, you may email the Administrator, administrator@asc.org.uk and ask to be removed from our general mailing list.

To comply with our obligations as a registered community interest company, we will retain your Member Information while you remain a member of the association and for a period of up to two years after you cease to be a member after which they it be deleted.

We will not share any of your personal data with any other member of the association or any third party without seeking further explicit consent from you. An example of this might be to provide, or cause to be displayed, your email address or phone number with other members of a committee or working party of the association you may have joined.
