Conference and Events Terms and Policies

This is a summary of the terms and conditions that apply when booking to attend one of our conferences or in-person events. If there are any variations for a specific event, it will be stated at the time booking. Also included are our policies with regard to attendance at events.

We aim to be fair and open in these terms, and to meet our commitment to ensuring that are events and activities are welcoming and open to all who wish to participate.

The specific terms that normally appear on the booking form are shown in italic.

Processing of your personal data

By registering to attend one of our events, you consent to:

Your ticket name (first name, last name and organisation) appearing on your name badge and the delegate list for this event which will be shared with other attendees including our sponsors (you can edit these fields now if required).

The distribution of recordings from this event, including transmission via our YouTube channel, which may include your image and/or spoken comments made by you during the discussion sessions that will form a part of this event.

Our processing of your personal data (1) such as is necessary in the administration of this event and (2) for us to meet all security and health and safety requirements of the event venue and (3) for us to seek to fulfil any dietary requirements or other accommodations you indicated to us at the time of booking.

Occasional contact from us by email to make you aware of future ASC activities and events.

If you wish not to be contacted, write by email to administrator@asc.org.uk and ask to be removed from our mailing list, or simply reply “unsubscribe” to any email received.

Accessibility and Special Accommodations

Please tell us of any physical or mobility accommodations, or any other special accommodations that we need to consider so you can participate fully (e.g. profound allergies). We will follow up by email to clarify and confirm that your requests can be accommodated. If you do not receive email confirmation please contact us directly to ensure that your request has been received.

Policies: We will explain what accessibility arrangements apply to any venue we use for one of our meetings. In most cases, and certainly in the case of all our larger events such as one-day conferences, the venue will be fully accessible.

We are committed to making all reasonable accommodations necessary to ensure everyone is able to participate in our events.

Dietary requirements

Please tell us here of any other dietary requirements or any food allergies at the time of your booking.

If you have any severe allergies, we will follow this up by email to clarify. If you do not hot hear from us by email, please contact us directly to ensure that your request has been received.

Our policy: Where catering is provided at any of our events, vegetarian and vegan options will always be provided.

Cancellation

Tickets are normally non-refundable. If you find you are unable to attend, we encourage you to transfer the ticket to someone else. Please notify us by emailing administrator@asc.org.uk so that we can update the delegate list and create a badge for the new attendee. We will normally only consider requests for a refund on compassionate grounds or in other exceptional circumstances
